This is a general Privacy Policy for the Stokely.ai website, provided for transparency about what this Site collects. If you're an active client, how the Stokely service handles your business's data is governed by your signed Client Agreement, which controls over anything below.
1. Who we are
This Site (Stokely.ai) is operated by Stokes Productions ("Stokes Productions," "we," "us," or "our"). This policy explains what personal information the Site collects, how we use it, and the choices you have.
2. What we collect
When you submit the contact form on the Site, we collect what you provide:
- Name
- Position / job title
- Work email address
- Company size
- Business type
- Immediate needs you select
- Preferred contact method
- Phone number, only if you choose phone as your preferred contact method
We also collect standard server and hosting logs generated automatically as part of running the Site, such as IP address, browser type, pages visited, and timestamps. This is typical web infrastructure logging, not active tracking we've built.
3. How we use it
We use the information above to:
- Respond to your inquiry and follow up about the Stokely service;
- Evaluate whether the service is a good fit for your business;
- Provide and administer the service if you become a client;
- Maintain the security and normal operation of the Site.
Our basis for this is straightforward: you gave us this information because you're interested in talking with us (consent), and we have a legitimate interest in following up on inquiries and running a functioning website.
4. We don't sell your data
We do not sell, rent, or trade your personal information to anyone.
5. Who we share information with
We rely on a small number of third-party service providers to host and operate the Site, such as hosting, content-delivery, and font providers. They may process limited information (for example, the server logs described above, or your IP address when your browser loads Site assets) only as needed to perform those services on our behalf, under their own privacy practices and, where applicable, agreements that limit how they can use it.
We do not share your contact-form submission with third parties for their own marketing. The infrastructure used to deliver the managed Stokely service to clients is separate from the Site and is addressed in the Client Agreement, not here.
6. Client business data is different
If you're a Stokely client, the business data handled inside the managed service itself, the records, communications, and workflows your Chief of Staff and specialist agents work with, is not governed by this Site policy. It's governed by your Client Agreement, which sets out how that data is stored, accessed, and protected. This policy covers the marketing Site only.
7. Connected integrations and third-party tools
Part of delivering the Stokely service is connecting a client's existing tools to their Stokely agent, at that client's request. For example, a client may connect their Jobber account so their Chief of Staff can answer questions about their own jobs, schedule, quotes, invoices, and payments.
When a client connects a tool like this, here is how we handle it:
- Read-only, by the client's choice. Access is set up at the client's request, using the tool provider's own secure authorization (OAuth), and is limited to reading. Stokely reads the connected account's data through the provider's API. It does not create, change, or delete anything in that tool.
- Only what's needed. For Jobber, that means records such as clients, requests, quotes, jobs, scheduled items, invoices, and payments, so the agent can answer the client's questions about their own business.
- Used only to run that client's service. This data is used solely to operate the connecting client's Stokely service. We do not sell it, and we do not use it for advertising or share it for anyone else's marketing.
- Kept in the client's own environment. Connected-tool data lives inside the client's private, dedicated Stokely environment, protected by the measures described in the Security section below and by permissions scoped to each agent.
- Revocable at any time. The client can disconnect a tool at any time, through us or through the tool provider. Once disconnected, Stokely stops accessing that account.
Each connected provider (such as Jobber) also operates under its own terms and privacy practices, which govern that provider's own handling of the data. How this connected data is stored, accessed, retained, and protected as part of the managed service is covered in full by the client's Client Agreement, described above.
8. How long we keep it
We keep contact-form submissions for as long as reasonably useful for following up on your inquiry or, if you become a client, for the duration of that relationship and a reasonable period after. You can ask us to delete your information at any time; see Section 10.
9. Security
We take reasonable measures to protect the information we hold, including encryption in transit, access controls limiting who can see it, and one-time-code (OTP) sign-in for the Stokely application rather than passwords. No method of transmission or storage is perfectly secure, but we work to keep this information reasonably protected.
10. Your rights
You can ask us to access, correct, or delete the personal information we hold about you at any time by emailing support@stokely.ai. If you're a California or EU resident, you may have additional rights under laws such as the CCPA or GDPR, including the right to know what's collected, to request deletion, and to object to certain processing. We'll honor valid requests consistent with those laws.
11. Cookies
The Site does not use cookies or similar tools for advertising or tracking. Some Site assets, such as fonts, are loaded from third-party providers, so your browser contacts them directly and they may receive technical information like your IP address as part of that request (see Section 5). If we add analytics or tracking cookies in the future, we'll update this policy to say so.
12. Changes to this policy
We may update this policy from time to time. We'll update the "Last updated" date above when we do.
